The Braap platform connects customers with technicians when things break or need maintenance. They repair a wide range of products, including, but not limited to: Appliances, Automotive, Bikes, Construction and Fitting Equipment, Heating and Cooling, Lawn Equipment, Powersports and Trailers.

Braap is a vast network of suppliers and technicians to automate the service process, so when something breaks, finding the parts and someone to fix mechanical problems in a comprehensive yet simple collaborative environment and making repairs and maintenance quick and efficient! The average repair job done through Braap services saves customers cost 35%.

Braap is committed to simplifying diagnosing, servicing and fixing mechanical things anywhere in the world.


The Challenge

Before using Zoho CRM, the client faced a problem in maintaining & accessing customers’ data.All of their customers, suppliers and technicians data are stored in a database-PgAdmin, which is a web-based GUI tool used to interact with the Postgres database sessions, both locally and remote servers as well.All activities are manually updated into a Postgres database by their team members. This makes it difficult for them to keep track of maintenance needs, fixes, and customer service requests. Repair statuses are communicated by SMS between technicians and master technicians.

Aside from facing difficulties in organizing and managing customers' data effectively, they have faced many challenges in the service technicians onboarding process, which is a completely paper-based process, consuming a lot of their precious time instead of helping their customers.


The Solution

Synchronize Postgres data with Zoho CRM.

If an admin wants to update information in their database they have no tool to connect to the database and update information easily. As the client was already accustomed with PgAdmin, we have made Zoho CRM to act as an Admin tool to Create/Update data in Braap by creating a connection between PgAdmin database and Zoho CRM.

Whenever a new row is added in tables of Braap DB it will be synced to Zoho CRM. If the admin updates /edit the data in CRM it will also immediately sync back to their database. When performing the Zoho CRM — PgAdmin sync, it does not load all the data each time. It tracks changes in the synchronized data sources and performs only necessary data changes.

The client have a dedicated web portal for their customers and technicians.Based on the information available in the Zoho CRM, the portal also gets updated.

Streamline the Hiring Process for Candidates(Service Technicians)

The client had a separate page to capture candidate(Technician) details through Zoho Zoho Recruit. We have utilized Zoho Recruit to create a career page on the Braap site and embedded easy-to-fill forms to simplify the application filling process for the technicians. However, there are some limitations to automation when it comes to sub-form which is not possible to do that in Zoho Recruit.

By leveraging Zoho Forms subform features, we have created additional custom fields in candidate application form to capture all the details about the service technician skill sets, which helps Braap to weed out waves of unsuitable candidates right away.

If the candidate selects the skill set based on his expertise and job, it will show the next option to choose related to the skillsets the candidate chosen.

Zoho Recruit helps Braap to improve the quality of hires, gives candidates a smooth interview experience and the time to fill is significantly reduced with the help of AI-powered recruitment assistance to recruiters (Braap).


Zoho Recruit Integrated with Zoho CRM to move data between the two applications seamlessly.

Maintaining a complete history of activities and candidates' details in a single place is not a cakewalk for Braap. YAALI helps Braap to streamline the recruitment process by integrating Zoho Recruit with Zoho CRM.

Once the candidate fills out the application form, their details are automatically sent to Zoho CRM (Candidates Custom Module) which allows Braap to track, manage and update the candidate's status in the recruitment process from Zoho CRM itself.

Most importantly, we aim to keep the integration free of redundancy, which helps Braap to avoid making the candidate go through similar rounds of selections again and again.

Once the lead enters the Zoho CRM, it triggers the candidate screening and evaluation process in Zoho Recruit and update the status in Zoho CRM’s Candidates module to keep track of where the candidates are at every hiring stage and Zoho Recruit will push candidates status to Zoho CRM through every stage in their hiring process. During this process, the candidate will be automatically marked as “User” in the User Type.

Once the candidate status reached the “Hired” stage, Zoho CRM will push the candidate details to Zoho People for Onboarding Process.

Once the candidates are hired in Zoho Recruit, their details will be automatically pushed to the Zoho People to trigger the candidate onboarding process. Then the candidate should finish the onboarding process by signing the Braap agreement and filling the addition information in Braap portal.

The client can track which candidates have read the documentation and send reminders to those who haven't to make sure nothing slips through.

Once the candidate completed the Onboarding process by completing all the steps and signing the respective documents in Zoho People, the candidate status will be automatically pushed into Zoho CRM and converted to "Technician" in the User Type in Braap portal and CRM along with relevant skill set details will also be updated.

Automated SMS Alerts through JustCall integration

We have integrated JustCall with Zoho CRM to automate text messages which facilitates Braap’s personnel to sending a SMS effortlessly from CRM itself. We have even automated the SMS Alerts using JustCall integration for every action like- Tech signup, Driver signup, order placement, delivery status change, etc...All inbound and outbound text messages get logged into Zoho CRM automatically under the notes section.


The Result

As a result of YAALI's end-to-end automation of Braap's service operations using Zoho apps, customer satisfaction has improved, and the recruitment and onboarding process has been streamlined to enhance operational efficiency for Braap.
