The Challenge

KineticEducation receive inbound leads through referrals, advertisements, Facebook, Twitter, Instagram, and other online apps. As the company grew, managing the huge volume of leads on a daily basis was their biggest challenge.

The Sales process is mostly manual, which was time-consuming and tedious. Due to this, they lost most of their customers because of their inability to track appointments made through the website, leading to the inability to assign staff for services that customers opted for at the right time.

Besides having difficulties managing leads, there was no streamlined way to manage the sales process, and they did not know where the customer was in the sales cycle. The issue was in tracking whether the salesperson followed up with prospects after inquiries, booked appointments, completed appointments, and followed up to avoid no-shows.

Zoho Bookings Integrated with Zoho CRM to Track & Manage Appointments without a hassle

YAALI recommended Kinetic Education to use Zoho Bookings for managing the appointments. Before using Zoho Bookings, Kinetic Education have checked many appointment booking software.After we explained about Zoho Booking’s functionalities and cost-effectiveness, they proceed to use Zoho Bookings for their service appointments without any hesitation.

YAALI have integrated Zoho Bookings with Zoho CRM to manage the appointments and maintain the customer relationship, service details and tutor details. As an extension to the booking functionality, they also make calls and send appointment reminders to the customers via text messages using Call Hippo. CallHippo is integrated with Zoho CRM as SMS Partner.

Workspaces are created for services with consultants/staff assigned to each service in Zoho Bookings and the booking url of the consultant for the service is sent to the customer, using which customer can book an appointment based on the tutor availability.


CRM for online elearning

A custom module 'Service Details' is maintained in Zoho CRM to store the details of the service name, staff name and the booking page url of the staff for each service. The tutors can fix an appointment over a phone call and share a link with the client to book an appointment at their convenient date & time. The appointment process happens in Zoho Bookings. The submitted information is automatically synced in ZOHO CRM against the corresponding client. This way, Kinetic Education management gets the bird’s eye view of their appointments details and the activities done by their tutors.

A custom-made widget has been developed in Zoho CRM for the consultants to book an appointment for their customers on-demand.

When an appointment is booked using the 'Create Appointment' widget , a meeting is created in Zoho CRM and an appointment is created in Zoho Bookings as well. Automated reminder SMS are sent to the customers before the appointments. All calls and SMS through CallHippo are logged in Zoho CRM for tracking the activities done by their team for the customers.

This scheduled appointment is easily traceable by the Tutors. It can be cancelled or rescheduled at any point of time to reduce no shows of the customers.


Automated the Sales Process using Zoho CRM’s Blueprint

Apart from just setting up appointments in Zoho CRM for Kinetic Education, YAALI have created a Blueprint for Leads in Zoho CRM based on the Lead Status.



As the lead moves through the different states, the tutors(consultants) can view the upcoming task by having a look at the possible transitions in the Blueprint and take appropriate actions which enables them to streamline the lead management process.

CallHippo Integration with Zoho CRM

Kinetic Education make calls as a part of their sales process and they want to track the effectiveness of customer calls by logging the call automatically and measure every call performance result against leads performed by the tutors(consultants).

To achieve this, YAALI have integrated cloud-based telephony system (CallHippo) with their Zoho CRM account to help their consultants to connect to leads instantly without missing an opportunity.

Upon successfully integrating CallHippo with Zoho CRM, Kinetic Education can make calls, track and monitor all their sales calls right from the CRM itself, which facilitates them to instantly identify the caller and see all their relevant details without having to manually search for the information before or during the call and measure the call performance both internal and external calls and log the call details within the Zoho CRM.



Apart from making calls, automated booking confirmation SMS is sent to the customer once the meeting is created,thus eliminating the need for any manual intervention.

Many ready-to-use templates are created in the 'SMS Templates' modules in Zoho CRM, which the CRM users can use at ease.

Apart from the automated SMS functionality, YAALI have created a custom widget in order to send SMS to customers as and when required. The suitable template can be chosen from the list of templates and data from the Lead record will be prefilled in the template while sending the SMS.

Admin can track the sales personnel Open & closed Call and SMS done for the lead in the Activities section in the leads module. In case any failure occurs in sending SMS, the same is logged in 'SMS Failure Records' module in Zoho CRM.
