Vox Block is a pioneering children’s audiobook company offering screen-free audio experiences that inspire curiosity and creativity. With a growing catalog of audiobooks from multiple authors, Vox Block faced the challenge of accurately calculating and paying royalties for every audiobook sold through their online store.

The company already used Shopify for sales and Zoho Books for accounting. Sales orders from Shopify synced automatically into Zoho Books, where workflows generated bills for each author (or vendor) per sale. However, as their catalog and sales volume expanded, managing royalty payouts became increasingly complex and time-consuming.

The client had partially automated bill creation since sales orders were synced from Shopify to Zoho Books, but they still needed a streamlined process to produce professional royalty reports on demand.

Rachel Bishop, founder of Vox Block, needed a smarter way to manage the entire royalty reporting cycle - one that would scale with the business and produce professional, detailed reports suitable for author communication and compliance.

They required a customized royalty reporting tool that could handle large data volumes, generate detailed PDF reports with 12 columns, and allow bulk verification of bills within a selected date range. The goal was to streamline royalty management while maintaining report accuracy, scalability, and professionalism.

Our mission was to build a robust, automated, and scalable solution that would help Vox Block efficiently process thousands of transactions without hitting the API & computational limits of Zoho Books.

The Challenges:

Our client’s existing automation worked for smaller volumes but began to break down as data increased. Each month, over 1,000 bills were created across numerous authors, and Zoho Books struggled to process and compile this volume efficiently.

This led to several technical and operational challenges that made their existing automation setup unsustainable:

• • 1. Zoho Books Data Processing Limits:

    The client generated over 1,000+ bills monthly for multiple authors. Zoho Books’ internal restrictions, such as execution time limits, API throttling, and statement processing caps, prevented the accounting software from handling such high data volumes efficiently. Attempting to process large royalty reports led to timeouts and incomplete outputs.

  • 2. PDF Customization Constraints:

    The client wanted a professional royalty report PDF with all 12 detailed line-item columns. However, Zoho Books’ built-in PDF templates and formatting options could not accommodate such a wide format. Additionally, Zoho Books didn’t support larger paper sizes like A3, restricting the layout design to a landscape A4 too small for the client’s requirements.

    

  • 3. Manual Verification and Missing Bills:

    The client also needed a reliable method to ensure that no royalty bills were missed before report generation. Since bills were auto-created upon syncing from Shopify, there was no automated mechanism to validate completeness over large date ranges.

These limitations hindered the company’s ability to process massive data volumes and generate accurate, comprehensive royalty statements for their authors efficiently.

To overcome these challenges, we engineered a comprehensive Zoho Catalyst-based solution that extended the functionality of Zoho Books while ensuring reliability, scalability, and customization flexibility.

1. Leveraging Zoho Catalyst for Data Processing

We developed a suite of serverless functions within Zoho Catalyst to handle large-scale data processing efficiently.

These functions:

• • Retrieve all royalty bills within a selected date range.

  • Segment the data into manageable batches to bypass Zoho Books’ processing limits.

  • Aggregate the results to generate accurate royalty summaries for each author.

This architecture ensured that even with thousands of bills and growing data sets, the system remained fast, reliable, and compliant with Zoho Books’ API limits.

This guaranteed that even with future data expansion, they could effortlessly produce royalty reports on demand without any issues.

2. Custom PDF Template Creation with SmartBrowz in Catalyst

For the reporting interface, YAALI implemented Zoho Catalyst SmartBrowz- rendering engine that transforms HTML templates into professional PDFs.

Our team of Zoho Certified developers designed a custom royalty report template using HTML and CSS, tailored precisely to the client’s requirements:

• • 12-column layout to display all author and sales details.

  • Clean, professional design suitable for royalty communications.

  • Automatic generation via a custom button in Zoho Books’ Royalty Report module.

This new PDF replaced the limited Zoho Books template and gave Vox Block the visually polished, publisher-quality reports they wanted.

3. Automated Report Generation Module:

We developed a Royalty Report custom module within Zoho Books that integrated with Catalyst’s backend logic.

Users could select date ranges, vendors, and processing preferences to generate royalty reports in a single click. This replaced the manual, error-prone process with a streamlined and automated workflow.

4. Bulk Bill Verification Feature:

To eliminate missed payouts, we added a bulk reprocessing option that allowed the client to regenerate any missing royalty bills within a selected time frame before finalizing a report. This feature ensured data completeness and payment accuracy for every author.This eliminated manual errors and ensured complete accuracy in every payout cycle.

By combining the processing power of Zoho Catalyst with the functional convenience of Zoho Books, Vox Block gained a tailor-made royalty reporting system built for scalability, precision, and ease of use.
