DCM was using traditional tools such as Excel and paper forms to capture data, which often resulted in duplicated work and considerable data errors. Their main problem was that they could not provide a controlled and segregated working environment for each team. They have multiple internal teams working parallel to get the job done.To name a few, the Asset Management Team maintains the assets at warehouse, the Meter Reading Team works on the field and collects the data, the Billing Team invoices the collected Meter reading. Each team differ in work-flow, SLAs, operating parameters.

Most of the tasks were done manually by the above teams. All the time and work force was focused on doing these day to day work rather than being proactive and building desirable customer relationships which leads to business expansion.

If a particular team employee wanted to work on their task, providing the individual work form from a spreadsheet was a challenge. The Meter Reading application was designed in a way that the field officers can use the application on mobile to feed the data. It has facilitated the executives on the field to eliminate paper form work and go digital.That’s a huge win for the executives, saving their time as well as keeping paper costs down.

Automated Billing process

Previously DCM used to get the Meter reading paper form from the reading technician and manually enter the data into the worksheet. Later these readings were converted into invoices based on the individual customers' billing plan.This process was done manually by the billing staff. The Manual calculation process was time-consuming and also had scope for discrepancies.

After Creator, Meter technician directly enters the reading into the system from the site and AI verifies the reading. The billing application automatically calculates the final amount based on the current reading and the customers' billing plan into consideration. The result was an eased process which is rapid and accurate.

Zoho Creator CRM Integration

Based on DCM business process, Yaali developed custom applications using Zoho Creator, that currently manages their processes across teams like asset management, Meter reading , and Billing. All these applications are integrated with Zoho CRM. A seamless data flow between CRM and Creator has been established.

Zoho CRM works like a master data sheet and has consolidated data of all the customers, their child account details and the Billing plan of each customer. CRM also helps the sales team to analyze the suitability of the customer's current plan.This analysis will benefit both the customer and DCM's business.
