Integration of Zoho Mail with Insightly

Insightly is a customer relationship management software for all businesses and helps in reaching out to their prospects at the right moment and engage them across every channel. You can view and access CRM info of a contact/lead right from eWidget including creating or modifying potentials, and associating Notes, Tasks, and Events to the contact or lead. You need to authorize Insightly CRM account in Zoho Mail to use our extension.

Setting up Insightly integration

Authentication

  1. Login to your Zoho Mail account
  2. Go to Settings >> Integrations card.
  3. Navigate to Insightly and click on it.
  4. Click Authenticate Insightly CRM.
  5. Give API key for Basic Authentication and click Authenticate.
  6. The Insightly extension will be enabled and listed in the app menu in eWidget.

To Get Apikey:

  1. Login to your Insightly account
  2. Go User Settings >> API KEY
  3. Copy the generated apikey and use it for authentication.

To set Configuration Params:

  1. Login to your Insightly account
  2. Go to User Settings >> Mailbox
  3. Copy the mailbox email id and save it on MailboxEmailID under Configuration params.

Enable Insightly Integration via eWidget

  1. Login to your Zoho Mail account
  2. Click on the eWidget icon on the bottom-right corner of your mailbox.
  3. Select Insightly from the app menu in eWidget.With our Zoho Mail add-on,you can able to add,extract and view the respective customer info (contacts and leads as you read emails from them, and associating tasks, notes, events, and activities) from the Insightly CRM and contextually display it in the appropriate fields,without leaving your inbox(Zoho Mail).

Add as Contact or Lead

  1. Select Insightly from the app menu in eWidget.
  2. You will be able to view the Insightly CRM information for the sender email addresses in the From or To/cc areas in an email, as you open it.
  3. In case an email address is not available in your Insightly database, you will see an option to add them as contact or lead.
  4. Fill in the details in the appropriate fields given and click Create Contact or Create Lead to add them as a contact or lead.

Add CRM Tasks,Notes & Potentials:

Our Zoho Mail add on facilitates smart integration with Insightly CRM, Tasks, and Notes.

Potential:

You can also create a potential for a Insightly contact or link it to an existing one from the eWidget. 

Activities:

Once an email address is added as contact or lead in your Insightly database, you can associate notes, tasks, events,emails of that particular contact/lead from eWidget.

You can see the task,event,mails associated with particular contact/lead for the email you read in the Zoho Mail.

Add Activity to the Lead/Contact (Task,Event):

  1. Select Insightly in the eWidget app menu.
  2. Able to view the Insightly CRM information for the sender email addresses in the From or To/cc areas in an email, while reading the mail. 
  3. Select the Activities section in the contact/lead’s Insightly profile.
  4. Click Create Activities
  5. Select Task or Event tab.
  6. Add respective information in the fields and click Create.

After creating the task and event,it can be associated with the particular Contact or Lead on the Insightly CRM account,right from your Inbox.

Mail Linking & Composing

Forward Email

  1. Click on the create Activity icon  on the Activities section.
  2. In Mail tab>>Forward Link
  3. After clicking the forward button,forward window will shown up and from here you can send the desired email to the corresponding lead in Insightly CRM,right from the eWidget.
  4. Forward link only show when you are in email preview

Compose Email

  1. Click on the create Activity icon  on the Activities section.
  2. In Mail tab>>Forward Link
  3. After Clicking the Compose Link button,compose window will be shown up and from here you can compose new email and send it to corresponding lead in Insightly CRM associated with the sender email address in the Zoho Mail.
  4. Forward link only show when you are in email preview

To save Email with contact:

  1. Click the Home icon in the top right corner>>After Click the Settings icon next to Email Id box.
  2. Pop up will open and here you should feed the value for Mailbox Email Id field.(Refer it in the screenshot).
  3. After setup the email mailbox id,you can link the sender email to the respective contact in the Insightly CRM by clicking the Forward/Compose button. After performing this,you can view the respective email which is automatically listed in activities list view.

FYI: You can see the activities in Zoho Mail only.It will not reflect in Insightly CRM,because linked email id is not available for the Contacts (Refer the Screenshot below.)

Note: You have the option for 'edit'/ 'delete' the task and events in the list box and also in detail view.However,for mail you have only the 'delete' option. 

Working with Deals

  1. Select Insightly in the eWidget app menu.
  2. Able to view the Insightly CRM information for the sender email addresses in the From or To/cc areas in an email, while reading the mail. 
  3. Select the Deals section in the contact/lead’s Insightly profile.
  4. Click Create Deal (plus icon).
  5. Add respective information in the fields and click Create.
  6. After creating the deal,the page will automatically redirect to detail view of that created deal.
  7. From the detail page you have option to Back/Edit/Delete and also view in Insightly CRM
  8. You can view created deal as list box and this deal (opportunity) associated with particular contact in Insightly CRM.

Converting Lead to Contact

  1. Select Insightly in the eWidget app menu.
  2. Able to view the Insightly CRM information for the sender email addresses in the From or To/cc areas in an email, while reading the mail. 
  3. Click More actions icon>>Convert.

The following options will shown up;

Choose any one of these options.

Check below what are all the activities you can perform when selecting the respective options.

Creating a new organization

  1. If organization is not present in Insightly,you can able to create new organization and new contact and lastly opportunity created.
  2. After clicking the ok button, the respective lead will be converted to contact.
  3. After the page gets automatically reloaded and display the converted contact details in the eWidget.

Add to existing organization

  1. If organization is already available in Insightly, you need to select the option whether to create new organization or add to existing organization.
  2. if you have selected add to exist organization,then you can able to map with existing organization and create contact and opportunity for the respective lead.
  3. If you have select Create new organization,then you can able to create new organization,contact and opportunity for the respective lead.
  4. After clicking the ok button, the respective lead will be converted to contact.
  5. After the page gets automatically reloaded and display the converted contact details in the eWidget.

No organization

  1. If there is no value for organization in lead record,then it will create a new contact,and new opportunity only.
  2. After clicking the ok button, the respective lead will be converted to contact.
  3. Then page gets automatically reloaded and display the converted contact details in the eWidget.

Note: You can also access the Insightly CRM in a new tab from Zoho Mail and view the respective contact/lead's detail on Insightly CRM by clicking on View in Insightly icon.

Forward/Compose Feature

Inorder to forward/compose the sender email to any other module in Insightly CRM( such as Lead,contact,opportunity,project) record.

Follow these steps;

  1. Homepage>>Click Forward/Compose button
  2. Select the module
  3. Search the record you wish to link the sender email
  4. From the list of records choose any one record to link the desired email.
  5. After choosing the record,then click Forward button,Now the sender email is associated to the record you selected and you can able to see that email in respective lead on the Insightly CRM.(Refer the screenshot below.)
