Zoho Creator Cuts Cost on Retail Training Platform for a Furniture Company

CLIENT BACKGROUND

MaKRS is a specialty finishing brand whose products, including varnishes, stains, and surface treatment solutions, are stocked across some of the largest retail networks in the country. When a customer walks into their retail partner stores and reaches for a MaKRS product, the person behind the counter needs to know exactly what it does, how to apply it, and why it stands apart from the competition. That knowledge does not happen accidentally. It requires deliberate, structured training delivered at scale.

MaKRS operates through a network of retail partners including The Home Depot, Lowe’s, Ace Hardware, and Walmart. Across those chains, the number of store associates who interact with MaKRS products runs into the thousands. Training all of them consistently, affordably, and in a way that actually verifies learning rather than just assuming it, was the challenge Jarred Brown brought to YAALI.

The client needed something more than a PDF guide or a one-time workshop. They needed an online course platform that could reach every store associate, track their progress, validate their knowledge, and reward the effort invested in learning.

That is when they turned to YAALI Bizappln Solutions.

THE CHALLENGE: More Than Just a Training Gap

Our Zoho Consultant sat down with the client to map out their requirements, and it quickly became apparent that the challenge was layered. On the surface, the ask was straightforward: build a training platform

But underneath, the client's training process was informal and inconsistent. There was no centralized platform, no way to verify who had completed what, and no mechanism to reward associates who invested time in learning the product range. As the business grew, this gap became harder to ignore.

The training program MaKRS wanted to build was free of charge to retail partners. That decision made good business sense: lowering the barrier to participation meant more associates would complete the training, which meant more knowledgeable staff recommending MaKRS products. But it also created a hard constraint. With potentially thousands of users accessing the platform at no cost, the per-user licensing fee of any solution had to be as low as possible without sacrificing quality.

When Jarred and his team explored their options, two paths emerged, and both fell short.

The first option was Zoho Learn, a purpose-built learning management system with solid features. But at ₹30 per portal user, the cost structure quickly became unworkable for a high-volume, free-to-access program. The more associates completed the training, the more expensive the platform became, which created a perverse incentive against the very scale MaKRS was trying to achieve.

The second option was custom development, building a proprietary website from scratch. This would have solved the per-user cost problem, but it introduced a different one: the upfront development investment and the ongoing burden of technical maintenance.

Beyond the cost challenge, several specific technical and operational problems needed solving before any platform could go live.

Custom Portal access was inconsistent. Associates across different retail locations were struggling to reach the training portal reliably, with the issue tracing back to domain configuration that, when improperly set up, broke the entire access flow before a single video could be watched.

Data integrity was at risk. The client's operations were structured around store numbers, and the system needed to validate user data against those store IDs during onboarding. Without backend validation, progress records would be contaminated and untrackable.

The assessment system needed to be tamper-resistant. A randomized quiz drawn from a bank of 20 to 30 questions, presenting 10 unique questions per attempt, required duplicate-proof logic. Any basic random generation without duplicate protection would compromise the integrity of the test.

The reward mechanism needed strict controls. Free product samples tied to training completion were a powerful incentive, but also a target for misuse. The claims system needed to trigger only for verified completions, with coupon logic preventing exploitation at the director-discount level.

Certificate output was unreliable. The system was able to generate certificates, but issues with background images and layout misalignment resulted in a final document that failed to meet the brand's quality expectations.

Our SOLUTION:

YAALI’s recommendation is to build an online course platform on Zoho Creator, a decision that immediately solved the cost equation. By choosing Creator over Zoho Learn, YAALI reduced the per-user cost from ₹30 to ₹24, a 20% saving that compounds significantly at the volume MaKRS was targeting.

The platform delivers the training for their retail associates using dedicated LMS, built entirely within Zoho’s low-code environment(Zoho Creator).

1. User Onboarding and Authentication

We have built a custom form using Zoho Creator that authenticates users through email ID and password. From the moment a user creates an account, their profile loads and ties all subsequent activity to that email address, including video completions, quiz scores, and reward claims. This single-source tracking approach eliminated the fragmented records that plagued earlier manual processes.

Store number validation runs at the point of onboarding. Before a user can access any training content, the backend confirms their store ID against the client's operational data. This ensures every learner in the system is a verified store associate, which makes reporting meaningful and accountability clear.

2. Secure Video Hosting with Zoho WorkDrive

To manage infrastructure overhead, YAALI used Zoho WorkDrive for secure, high-speed video hosting. Rather than paying for external video CDN services or building a custom media pipeline, WorkDrive gave MaKRS a reliable, integrated hosting layer that sits within the same Zoho ecosystem as the rest of the platform.

The training interface was built using Zoho Creator Pages and HTML Snippets, producing a premium, branded experience that looks and feels like a purpose-built LMS. Associates landing on the training home page see a clean layout listing all available training videos alongside their progress indicators. The interface is intuitive enough for a first-time user to navigate without any guidance.

3. Sequential Video-Based Training

Our Zoho Creator developers structured the training content into a step-by-step sequential flow where each module must be completed and submitted before the next one unlocks. This prevents learners from skipping ahead and ensures knowledge builds progressively. Each training unit was calibrated to an optimal length of 11 to 12 minutes, long enough to be substantive and short enough to hold attention during a working shift.

The content covers the full spectrum of the client's product line: product selection, sizing, application types, and the nuances between different stain variants and finish methods. Our team worked closely with the client to ensure the training reflected real-world application scenarios rather than generic product descriptions.

4. Randomized Assessment Question Engine

The quiz engine our Zoho Creator Experts built draws from a bank of 32 questions and selects 10 unique questions per attempt using a loop-based randomization algorithm. The loop checks each newly generated question number against those already selected, discarding any duplicate before it reaches the learner. The result is a test that feels fresh on every attempt while drawing from the same validated question pool.

The passing threshold is set at 8 out of 10 correct answers, a standard high enough to confirm genuine knowledge without being punitive. Learners who do not pass on their first attempt can retake the assessment, giving those who need more time a fair path to completion. The assessment also includes matching-type questions and staged answer reveals to make the experience more engaging and harder to game through guesswork.

5. Reward Mechanism and Claims Management via BigCommerce

Successful completion of the final quiz triggers two automated actions simultaneously. First, a digital certificate is generated using a Zoho Creator record template and made available for immediate download. Second, the platform presents a Sample Claim form where the associate can select the MaKRS product sample they want to receive. The form is tracked per user’s email address, giving the client a clear record of who has claimed what and when.

When the claim form is submitted, the system fires an API call to BigCommerce, MaKRS’s e-commerce platform, and automatically creates an order for the selected items. The associate receives their free sample through the same fulfillment pipeline as any regular order, with no manual processing required on the MaKRS side. The entire flow, from passing the quiz to sample shipment, runs without human intervention.

6. Certificate Generation and Download Option

Our Zoho Creator Experts resolved the certificate formatting issues by rebuilding the template with stable background image handling and consistent layout rendering. Learners who pass the assessment can download their certificate immediately. The document looks polished and professional, reinforcing the credibility of the training they completed and giving them something tangible as proof of their expertise

Results and Impact

For the client's store associates, the learning experience is structured and rewarding. They move through content at a manageable pace, know exactly where they stand at every point in the journey, and finish with a certificate and a free product sample that acknowledges the time they invested. For those who do not pass on the first attempt, the retake option removes the penalty of failure and keeps the path to completion open.

For MaKRS, the operational impact is significant. A training program that once required manual coordination, inconsistent delivery, and no verification mechanism now runs automatically, consistently, and with a full audit trail of who learned what and when.

Key outcomes the platform delivers today:

Conclusion

The MaKRS Retail Training Platform is not a pilot or a proof of concept. The core system is operational, with multiple modules live and functioning across the retail partner network. User signup works. Videos play sequentially and track completion per associate. The quiz engine generates unique randomized assessments and scores them in real time. Sample claims trigger automated BigCommerce orders. Certificates generate and download immediately upon passing.

Every associate who completes the training becomes a more effective advocate for MaKRS products at the shelf. Every certificate downloaded is proof that the learning happened. Every free sample shipped is a relationship reinforced, automatically, without anyone at MaKRS lifting a finger.

The choice to build an online course platform on Zoho Creator rather than defaulting to a more expensive out-of-the-box LMS or an overengineered custom build reflects the kind of thinking that separates a good zoho implementation partner from a great one. YAALI did not just deliver what the client asked for. We identified a smarter path to get there, one that cost less, scaled further, and required less maintenance over time.

What YAALI built for MaKRS is not a one-off project. It is a repeatable approach to a challenge that every product-driven business faces: how do you train a large, distributed workforce consistently, affordably, and in a way that actually verifies what people have learned?

The answer is a custom Learning Management System built on Zoho Creator, and YAALI is the team that knows how to deliver it.

If your workforce is growing and your training program is not keeping up, YAALI can close that gap with a Zoho Creator LMS built specifically for you.
